Stallholder Information T&Cs

Opening Hours
Our markets run from 11am to 4pm in Killearn Village Hall (with the exception of the Horti Market on 29th August, which runs 1.00-4.00pm to coincide with the Horti Show timings.)

Stall Fees
• 14th March - Mother's Day Market (£20) - applications close 16/2/26
• 2nd May - Spring Craft Fayre (£20) - applications close 19/3/26
• 29th August - Summer Crafts at the Horti 

   (£10 indoor, free outside, table/gazebo not provided)  - applications close 16/7/26
• 7th November - Autumn Craft Fayre (£20) - applications close 1/10/26
• 5th December - Christmas Craft Fayre (£25) - applications close 15/10/26

 

Payment details will be sent to you via email along with a provisional confirmation email. Your booking will be held until the payment deadline and will be confirmed when payment has been received. Stall fees are non-transferable and non-refundable unless cancelled by the organiser.

Set up
The hall will be open for set up from 10am on the day of the market. There are parking facilities available, and you should use the fire exit staircase entrance to bring your goods in for setup, unless you require access to the lift which can be found in the main hall entrance. We would ask that you be considerate towards the other stallholders, and do not block the entrances to the hall, moving cars to allow other vehicles to unload.

All stallholders will be provided with a 6ft x 1.5ft table and 1 chair, with more chairs available as required. Specific requests (for example, space for rails) must be made on your application.


Running Times
The market will be open 11-4. Please be considerate of the organisers, customers and other vendors and do not close your stall before 4. Doing so without good reason and permission of the organiser will result in the cancellation of any further bookings.


Insurance
All stallholders must adhere to local guidance, including insurance and government rules.

This should include public liability insurance (PLI) to cover for accidental damage or injury caused by themself or their products. Product liability insurance may also be helpful depending on the level of risk posed by products. Public liability insurance tends to start at £30 per year. Examples of where to find this include:

Since PLI is not a legal requirement, we do accept vendors who are not covered, however you must be aware of the risks associated with this, and be aware that Killearn Country Market and Killearn Village Hall cannot be held liable in the event of any claims or legal action held against yourselves. General Product Information
All products sold must be fit for purpose, and adhere to safety standards set by the UK government. For more information, please see General Product Safety Regulations 2005:

Edible Items
Stallholders selling edible items must hold a valid food hygiene certificate. This costs £10 - £20 per person, and can be easily completed online. Examples include:

Cosmetics
Stallholders selling products for use on the skin must adhere to the UK’s guidelines for cosmetic manufacture, which includes listing ingredients and having products safety tested before sale. You can find out what guidelines are involved here:

Please note, medical claims (e.g. cream is good for eczema) must be backed up with reports from the Health and Safety Executive (HSE). Any insect repellents for animals must also be registered with the HSE.

Charity Tombola
Each month we will be supporting a different charity or group, nominated by members of our community. They will be allocated a stall, where they will be able to share information, collect donations and also run a tombola. We would love if our stallholders would be willing to contribute something to this tombola, but this is not a requirement. More information about who we are collecting for each month will be available on our Facebook page.

Workshops, talks and events
We will also have access to the committee room for the duration of the market, and also have a crafting corner set up in the main hall. If you have something you would like to run during this time (either in the committee room or as a craft corner takeover), please get in touch with Megan to discuss.
